Capturing & Managing Inbound Leads
How to capture customer inquiries from website forms, manage sales pipelines, and convert leads to paying clients.
Capturing & Managing Inbound Leads
The Leads & CRM module in VAP ERP helps your sales team centralize incoming customer inquiries, track conversations, organize deals on a visual board, and turn prospects into long-term clients.
1. How Inbound Leads Enter Your System
VAP ERP provides three ways to bring prospects into your CRM:
- Manual Entry: Click + New Lead in the CRM dashboard to enter contact details, expected deal value, and source (e.g. Referral, Phone Call, Trade Show).
- Bulk Spreadsheet Import: Upload a clean CSV or Excel sheet under CRM → Import Leads to ingest historical customer contacts.
- Automated Webhooks: Connect your website contact forms, Meta lead ads, or landing pages directly to your VAP ERP webhook URL so new inquiries appear in your pipeline within seconds.
2. Managing Your Visual Sales Pipeline
Navigate to CRM → Pipeline to view your active opportunities on a Kanban board organized by sales stages:
- New: Inquiries just received that require initial qualification.
- Contacted: Sales reps have initiated outreach via phone, email, or WhatsApp.
- Meeting / Demo Scheduled: Prospects evaluating product fit.
- Proposal Sent: Quotations or commercial terms issued.
- Won: Successfully closed deals.
- Lost: Inactive or disqualified leads.
Quick Actions on the Board:
- Drag & Drop: Simply drag a deal card across columns as negotiations progress.
- Activity Logging: Click any lead card to log phone call summaries, schedule follow-up reminders, or record meeting notes.
- Team Assignment: Assign leads to specific sales executives to balance workloads and ensure fast response times.
3. Converting a Won Lead into a Customer
When a prospect accepts your quotation and is ready to do business:
- Open the lead detail view.
- Click Convert to Customer in the top action bar.
- The system automatically:
- Creates a permanent record in your Customer Directory.
- Preserves all historical sales notes, contact names, and phone numbers.
- Enables immediate generation of sales orders and tax invoices under the Finance module without re-typing any customer information.
4. Best Practices for High Sales Conversion
- Respond Within 15 Minutes: Use automated email notifications to alert sales reps the moment a new inbound lead is captured.
- Set Next Steps on Every Call: Never leave a lead card without an upcoming task or scheduled follow-up date.
- Track Lost Reasons: When marking a lead as Lost, select a reason (e.g. Pricing, Competitor, Timeline). This data helps your management team refine commercial packaging over time.
